The transaction arrives
AI reads the incoming transaction, identifies its subject and priority, and suggests the right department to route it to. Its number, date and chain of receipt are recorded automatically.
Five modules on one database and one AI layer. Start with a single module or license all five — data is never duplicated, and every transaction leaves one connected trail.
Most entities digitize in installments: an archiving system from one vendor, a correspondence system from another two years later, then an inventory system from a third. And each time, they pay three times — for the system, for connecting it to what came before, and for maintaining that connection whenever either side is updated.
Five years on, the result is the same data in five places, one employee with five accounts, and a single report stitched together by hand from three systems. That isn't a digitally transformed organization — it's paper chaos moved onto screens.
Incoming and outgoing correspondence and circulars, documented from creation to proof of delivery
Module detailsSmart archiving and Arabic search inside documents and scanned images
Module detailsAgendas, automatic minutes and formal voting in a record that can't be altered
Module detailsReal-time tracking of assets and custody items, with documented digital stocktaking
Module detailsPermits, check-in and a movement log built for sensitive facilities
Module detailsTo see how it works, follow a single transaction from the moment it arrives:
AI reads the incoming transaction, identifies its subject and priority, and suggests the right department to route it to. Its number, date and chain of receipt are recorded automatically.
The attachments are indexed, classified and run through OCR instantly. They are not a second copy of the document — they are the document itself, with its permissions and audit trail.
The item is added to the committee agenda with its attachments. Members vote, the minutes are drafted automatically, and the decision is digitally sealed with its time and voters.
If the decision issues an asset or custody item, the stock movement is created right away, linked to both the transaction and the decision. The signed handover form is then saved back to Docs.
At the end of the route, you can start from the asset issued from the warehouse and trace back to the decision that approved it, then the minutes, then the original transaction — in seconds. That is what "one database" means in practice: one connected digital trail from start to finish.
When AI is confined to a single system, it sees only part of the picture. In Hexmate, the AI layer runs across every module — it reads the document, understands the transaction, follows the decision and tracks the asset. That connection makes possible what no standalone system can offer:
Reads the text inside documents and scanned images, then indexes and classifies it automatically in Arabic — the foundation for everything else.
Sorts and routes incoming mail and moves recurring approvals through by your rules — so your team handles only the exceptions.
When an item comes up, the system shows the related decisions, transactions and assets already on record — no manual searching across three systems.
Predicts delays before they happen, spots unusual issuing and visit patterns, and alerts you before they become a problem.
The platform runs entirely inside your own infrastructure (on-premise), with no external connection — the standard choice for our clients in the sovereign and military sectors.
Data is encrypted at rest and in transit, with key management inside your own environment.
Control at the module, folder, document and field level — not just system-wide.
Every access, edit or export is logged with who did it and when — whether it succeeded or was denied.
Your data never leaves your control — whether on your own servers or in cloud hosting inside the Kingdom.
You don't have to adopt the whole platform on day one. Start with the module that solves your biggest pain point and add others when you need them — no data migration or re-implementation, because every module runs on one database from the start.
