The problem

Scanning alone solves nothing

Many entities have paid to digitize their archive, only to find that searching it got no easier. Documents became files named IMG_2847.pdf in nested folders — and employees still open ten files to find one.

Scanning only captures the image. Until the content of each page is read, indexed and classified, the archive stays silent — just paper moved from a cabinet to a hard drive.

Scope

What we digitize

Paper documents

Administrative files, contracts, correspondence, employee files, financial records — in every size.

Drawings and large formats

Engineering drawings and technical plans up to A0.

Media and audiovisual material

Photographs, video and audio tapes, media archives — digitized and preserved at archival quality.

Special records

Historical or fragile records that need careful handling to avoid damage.

Methodology

From cabinet to keyword search — in six stages

1

Survey and assessment

A site visit to estimate the actual volume, document types and condition — before any financial commitment.

2

Sorting and preparation

Sorting documents, removing staples, repairing damaged pages and arranging everything to the agreed classification.

3

Scanning

Archival-resolution scanning, with quality control on every batch and rescans where needed.

4

Intelligent processing

Text extraction with Arabic OCR, automatic classification and key fields pulled from inside each document.

5

Handover and integration

The archive is delivered fully indexed and connected directly to your document management system, searchable from day one.

6

Handling the originals

Documented destruction or organized re-storage of the paper documents — per your policy.

Artificial intelligence

AI in archiving — the difference between a page image and its content

Reading Arabic text inside images

Every scanned page becomes searchable text — search for a sentence from the middle of a page and the document comes up.

Automatic document classification

The system tells a contract from an invoice from an official letter and classifies each one without manual sorting.

Automatic field extraction

It captures the contract number, date, counterparty and expiry date as fields — so later you can ask the archive: "Which contracts expire within 90 days?"

Duplicate detection

It spots duplicate copies of the same document and excludes them — so you never pay to digitize the same thing twice.

How it works

One page, from paper to fields you can query

The intelligent scanning pipeline: the page is scanned, its text is read, the document is classified and its fields are extracted — so the archive can answer questions.

  • Arabic OCR reads every page
  • Auto-classification by document type
  • Fields you can sort and set alerts on

It depends on the condition of the documents, where the work is done and how many scanning lines are assigned. We give you a precise timeline after the site visit, and we work in parallel batches to shorten it.
