Hexmate Docs — a module of the Hexmate platform

Document Management & Electronic ArchivingSearchable by what’s inside.

Find any document by what is written inside it. Arabic OCR search, granular permissions and a full audit trail — an employee file in 90 seconds, not 10 minutes.

The problem

The document isn’t lost. Nobody knows where to look.

Most entities already have an archive: full cabinets, folders on a server, and scans named like scan_0042.pdf. The trouble is that none of it is searchable. Employees know the document exists, but it takes ten minutes to reach it — and sometimes they give up and recreate it from scratch.

Every file pulled without a record and every photocopy passed around erodes the archive as a trusted reference, until it is nothing more than storage.

Capabilities

What this electronic archiving system does for you

Flagship capability

Search inside file content (Arabic OCR)

The engine reads the text inside images and scanned documents, so you search for a sentence in the middle of page fourteen, not for a file name.

Automatic indexing and classification

The system recognizes the document type (contract, invoice, decision, letter), classifies it and routes it to the right workflow with no manual entry.

Granular role-based permissions

Each user sees only what is theirs to see — at folder, document and field level.

Full audit trail

Every open, download, edit and print is logged with the user’s name and time, so you always have a documented answer to “Who viewed this document?”

Document encryption

Encryption at rest and in transit, with the option to host everything inside your own infrastructure.

Approval workflows

Send a document along a predefined approval path, with alerts and automatic escalation when it stalls.

Version control

Every edit is saved as a separate version, so the original is never lost.

Artificial intelligence

AI in this system — what it means in practice

Reads and understands content

The engine doesn’t index the file name. It reads every word on the page, scanned documents included.

Self-learning classification

The more your entity archives, the better the system gets at recognizing and routing document types, so manual entry keeps shrinking.

Automatic data extraction

It captures key fields (contract number, expiry date, entity name) and turns them into data you can sort and set alerts on.

Interface preview

Search by sentence, not by file name

The search screen: results highlight where the phrase appears inside each document, not just the file name.

  • Search inside images and scanned documents
  • Automatic tags: Encrypted · Indexed · Text extracted
  • Permissions decide what each user sees

Integration

It doesn’t work in a silo

A document archived here is not a separate copy. It is the same file attached to an outgoing transaction in Hexmate Mail, cited in meeting minutes through Hexmate Meet, and linked to an asset or custody item in Hexmate Stock. One data layer: no copies, no conversions, no duplicates.

Questions clients ask before they start

We start with what your teams request most, such as employee files or active contracts, so you see results in the first few weeks. The rest follows in batches on an agreed schedule, and your daily work continues throughout.

A scanner gives you a picture of the page. We give you readable content: text extracted with Arabic OCR, automatic classification by document type, fields pulled from inside the document, plus permissions and an audit trail. The result is an e-archive you search with a sentence, not folders you open one by one.

That depends on the quality of the original and its script. So before you sign, we run a sample of your real documents and show you the results. Low-quality documents are enhanced or reviewed manually as part of the scope.

Yes. The entire document management system can run on your own servers (on-premise), the standard choice for our sovereign and military clients. Cloud hosting inside the Kingdom is also available.

Permissions are set at folder, document and field level. Every open, download or print is logged with the user's name and time, including denied access attempts.

Your documents and their metadata stay in your own database, in standard exportable formats. We hand over the system documentation and train your team, so your entity is never tied to us by a hard exit.

Yes. It integrates with Active Directory for user management, and with other enterprise systems through APIs.

Next step

Start with one module

You don’t have to adopt the whole platform. Start with the module that solves your biggest pain point today and add others when you need them — no rebuild and no data migration, because every module runs on the same database from day one.
